Declined Cards on Plumbing Jobs: What Happens and What the Office Does Next
Cards on file make getting paid easy right up until one is declined. It will happen. Cards expire, get replaced after a fraud alert, hit their limit after a holiday, or get canceled when someone switches banks. None of that means the customer will not pay. It just means the office has a small job to do.
Big Jobs and Small Ones Both Decline
A decline can happen on a $129 flush or on the balance of a repipe like the ones in Repipe Deposits and Progress Invoices for Bigger Plumbing Jobs. The routine is the same either way. The bigger the invoice, the sooner the office should act.
What Happens in the Software
When the tech taps Complete, PlumbingBossPro creates the invoice and tries the card on file. If the card is declined, nothing about the job changes. The work is still marked done, the photos and notes are still attached, and the invoice still exists. It simply shows as unpaid.
The tech does not need to do anything. They do not need to knock on the door again or call the office. Declines are handled from the office, not the driveway.
Step One: Let the Customer Know, Kindly
Most declines are a surprise to the customer too. The first message should assume an honest mistake:
- “Hi Linda, this is the plumbing office. Today's water heater flush is all done, but the card we have on file didn't go through. You can update it in our customer app, or just reply here and we'll help.”
Send it by two-way texting from the office, so the reply comes back to the client record. Keep the tone the same as any other appointment text. There is nothing to scold anyone about yet.
Step Two: The Customer Updates the Card Themselves
The best fix for a declined card is the customer entering a new one themselves. In the PlumbingBossPro customer app, customers can update their card, see the unpaid invoice and pay it online. Nobody reads card numbers over the phone, and nobody in the office writes them down.
The details of how that works, and how to explain it, are in Letting Plumbing Customers Update Their Card From the Customer App.
Step Three: Let Past-Due Follow-Up Do Its Job
If the customer does not respond, the invoice stays open, and past-due follow-up in PlumbingBossPro sends reminders by text and email. Most declines are cleared within the first reminder or two. The ones that are not move into your normal past-due routine, covered in Past-Due Plumbing Invoices: A Follow-Up Routine That Gets Paid Without Burning Bridges.
Do not keep retrying a declined card by hand over and over. Repeated attempts on a card that is canceled will not work and can annoy the customer if they see the attempts. Wait for a new card.
Special Cases
- Plan customers. If a yearly flush customer's card is declined, fix it before the next visit comes due. Check the Waiting List for upcoming plan visits with open invoices.
- Deposits. If a deposit is declined, do not order the water heater or hold the date until it is paid. That is the point of a deposit.
- Monthly accounts. Property managers and restaurants billed on a monthly statement usually pay the statement as a whole. If their payment fails, call the accounts contact rather than texting a tenant or kitchen manager.
- Repeat declines. A customer whose card fails visit after visit might be better off paying each invoice online in the customer app instead of relying on a card on file.
Keep a short note on the client when a decline is resolved, such as “Card updated in app on the 12th, invoice paid.” If the same customer has trouble again next year, the office can see the history at a glance and decide whether to keep relying on the card on file or ask the customer to pay each invoice online instead. That small habit saves guessing later.
Check Declines Weekly
Declines are easy to fix in the first few days and harder after a month. Make it a weekly habit: look at unpaid invoices from the past week, see which were declined charges, and make sure each one got a message. The billing reports make that list quick to pull.
Handled this way, a declined card is a small office task, not a confrontation. The tech keeps working, the customer fixes their own card, and the invoice gets paid. For how declines fit into the rest of plumbing billing, visit the plumbing invoicing software page.
