Past-Due Plumbing Invoices: A Follow-Up Routine That Gets Paid Without Burning Bridges

Most past-due plumbing invoices are not fights. They are forgotten. The homeowner meant to pay, the email got buried, the card expired, or the property manager's bookkeeper was out for a week. A steady, polite follow-up routine collects nearly all of them and keeps the customer calling you the next time something leaks.

Where Past-Due Invoices Come From

Some start as declined cards. Updating the card is covered in Letting Plumbing Customers Update Their Card From the Customer App. Others are invoices for customers without a card on file, monthly statements that sat on a desk, or jobs where the customer had a question nobody answered.

That last group matters. Before chasing any past-due invoice, ask: is there an open question about it? An unanswered “why is this so high?” text is a reason not to pay.

Step One: Automatic Reminders

PlumbingBossPro handles the first part for you. Unpaid invoices get past-due follow-up by text and email, and the customer can open the customer app and pay online. For most forgotten invoices, that is all it takes.

Automatic reminders are consistent, which matters. When reminders depend on someone remembering, some customers get three and others get none. Customers notice.

Step Two: A Personal Text

If the reminders have not worked after a week or two, send a short personal message through two-way texting:

Asking “any questions?” gives the customer an easy way to say what is really holding it up. Sometimes it is a question about a line. Sometimes it is a cash-flow problem and they want to pay in two parts. Either way, now you know.

Step Three: A Phone Call

After another week or two, call. A real voice gets attention that texts do not. Keep it friendly and specific: the date, the work, the amount, and how to pay. Note the result on the client so whoever follows up next knows what was said.

If the customer disputes part of the invoice, listen. Pull up the job: the lines, the tech's notes, the before-and-after photos. Backing up an invoice with what is already on the job is covered in Backing Up a Plumbing Invoice With Photos, Tech Notes and the Inspection Report. If you made a mistake, fix it quickly and say so.

Step Four: A Clear Final Step

Every shop needs a last step, and it should be written down before you need it. Common choices include:

Whatever you choose, apply it the same way to everyone. And keep the tone professional to the very end. This article is not legal advice on collections; if an account gets that far, talk to someone who does.

Property Managers and Restaurants

Monthly accounts work differently. A property manager or restaurant set to Monthly gets one statement covering every address. If that statement goes past due, the follow-up goes to the accounts contact, not to the tenant or the kitchen. Often the issue is simply that the statement went to the wrong inbox, or the manager needs each address's charges split out — which the statement already does, since every line is labeled with its address.

Before sending more reminders to a monthly account, confirm the billing contact and email. One correction there clears a lot of past-due balances.

Keep notes on every step. When a customer says they will pay Friday, write it on the client. When they ask a question, note the answer you gave. If someone else in the office picks up the follow-up next week, they can see the whole story without asking around, and the customer never has to explain the situation twice. Customers notice when an office remembers what they said, and it makes them far more likely to pay without further reminders.

Prevent It in the First Place

The best past-due routine is one you rarely need. The habits that keep invoices from going past due:
