One Van on Water Heaters: Routing Flush and Maintenance Visits by Area

Most small plumbing companies start by letting whoever is free do the flushes. It works until the phone gets busy. Then every flush gets bumped for a leak, the Waiting List turns overdue, and members start asking where you have been. The shops that run maintenance plans well usually make one decision early: one van belongs to water heaters and maintenance.

Why Numbers Point to a Dedicated Van

The monthly review in Tracking Plan Members in Reports: Who Is Signed Up, Who Is Due and Who Has Lapsed often shows the same problem: overdue visits creeping up whenever emergency work is heavy. A dedicated van is the most direct fix.

A typical setup is one van on repairs and drains, and one on water heaters and maintenance. The repair van handles whatever the phone brings. The maintenance van works the Waiting List: flushes, tankless descaling, softener service, backflow tests and the replacement jobs those visits produce.

Building a Day From the Waiting List

The Waiting List is a live map of every visit that came due, with pins for not due yet, due now and overdue past a 7-day grace. Building the maintenance van's day starts there:

  1. Find the overdue pins first.
  2. Look at the due pins around them and pick an area.
  3. Add not-due-yet members on the same streets if the day is short.
  4. Assign the visits to the maintenance van for that day.

Grouping by area is the whole game. Six flushes in one neighborhood is a productive day. Six flushes in six directions is a day of driving.

Auto-Route From the Shop

Once the visits are on the van, the dispatch board can auto-route them Closest First or Furthest First from the shop. Closest First starts near the shop and works outward, which suits a day that might get cut short. Furthest First drives out early and works back toward the shop, which suits a tech who wants to finish close to home base.

You can also set the route order by hand when you know something the map does not, such as a member who needs the first slot of the day or a landlord's vacant house that can be done any time.

The tech's phone shows the same order as the board. Saved views let the office flip between the maintenance van and the rest of the fleet, and route sheets can be printed for anyone who likes paper in the van.

Plan the Day Around Access

Not every visit takes the same time. Because the water heater's location is on the house record, the office can see which visits are quick garage flushes and which are attic tankless units or crawlspace tanks. A realistic day mixes them. A day of nothing but attic visits is exhausting and runs long.

Members with more than one plan, such as a flush and softener service, should be combined into one visit. The job card shows all the equipment at the house, so the tech knows to do both.

Protecting the Maintenance Days

The hardest part of a dedicated van is keeping it dedicated. When the phone rings with a burst pipe and the maintenance van is closest, it is tempting to send it. Sometimes you should. But if it happens every day, the plan stops running.

A few rules help:

Where Replacements Fit

Water heater replacements often come straight out of maintenance visits, and the maintenance van's tech knows those houses best. Many shops give replacements to the maintenance van, scheduled as the morning job with flushes filling the afternoon. That process is covered in Running a Water Heater Replacement Job From Approved Quote to Paid Invoice.

When One Van Is Not Enough

If the maintenance van is full every day and the Waiting List still has overdue pins, it is time for more maintenance days: a second tech part-time, or the repair van taking maintenance one day a week. That is a good problem, because it means the plan is selling. For how routing ties into the rest of the program, return to the PlumbingBossPro water heater service software page.
