Restaurant Plumbing Service Calls: Working Around the Kitchen and the Dinner Rush

A restaurant does not call a plumber on a quiet afternoon to chat. It calls because the floor drain is backing up, the hand sink will not drain, the dish machine area is flooding or there is no hot water an hour before dinner. Every minute the problem lasts costs the owner money, and the kitchen is full of people who need the space you are about to take up.

Service Calls Are Not Scheduled Jetting

Planned work is the subject of Restaurant Grease-Line Jetting on a Schedule: Every 14 or 30 Days Without the Reminder Call. Service calls are the other half of restaurant plumbing, and they are messier. They come when the kitchen is busiest, they involve more than drains, and the person who calls is often a line cook or shift lead rather than the owner.

A plumbing company that handles these calls calmly and cleanly is the one the restaurant keeps on speed dial.

Know the Kitchen Before You Get There

Restaurant kitchens pack a lot of plumbing into a small space. The more your tech knows before walking in, the less time they spend asking around a busy line. In PlumbingBossPro, every restaurant address keeps an equipment list. For each item you can save brand, model, serial, size, fuel or power, year installed, location and access notes:

The tech sees all of it on the job card. The From House picker fills a new job from the saved equipment, and anything the tech updates flows back to the address for next time.

Timing the Visit

An emergency is an emergency, and sometimes you go now. But many restaurant calls are not true emergencies. A slow hand sink or a dripping faucet can wait until the lunch rush is over. Ask the caller what the kitchen can live with until a quieter window.

Access notes on the address keep the restaurant's rhythm in front of the office: “Lunch rush 11 to 2, avoid,” “Closed Mondays, owner can meet you,” “Deliveries at the back door 7 to 8am.” More on timing is in Scheduling Commercial Plumbing Work Around Business Hours.

When a call truly cannot wait, say so to the kitchen up front. Tell them roughly how long the water will be off and what area you need cleared, so the manager can shift prep to another station instead of finding out when the tech walks in.

On the dispatch board, the office can put the call on the right van, set its place in the route, and the tech's phone shows it in order.

Talking to the Kitchen

The owner pays, but the kitchen manager lives with the problem. Two-way texting from the office lets you keep both in the loop without phone tag:

Replies come back to the office in the same thread. The details are in Two-Way Texting With Property Managers and Kitchen Managers.

Clean Work, Clear Proof

Restaurants care about cleanliness for good reason. Work clean, clean up after, and take photos. Before-and-after photos from the tech's phone are saved with the job, so the owner can see what was found and what was done even if they were not there.

If the call turns up something bigger — an old water heater, a line that needs a camera inspection, a cracked cleanout — build an estimate from your service list and send it to the owner. They approve it online, and the approved estimate becomes a scheduled job, ideally on a day the kitchen is closed or slow.

Billing and Following Up

Independent restaurants often pay by card on file, charged when the tech taps Complete. Restaurant groups with several locations usually want everything on one monthly statement, each line labeled with the location's address. Either way, invoices carry line items and sales tax.

The best follow-up to a drain emergency is an offer to stop the next one. A restaurant that just had a backup is the easiest customer you will ever sign up for scheduled jetting. Note it on the job and have the office send a quote the next day.
