Quoting Property Managers and Landlords: Plumbing Estimates Across Many Addresses

A homeowner gets one quote for one house. A property manager might get a dozen quotes a month for a dozen addresses, and they are approving them from a desk across town, often without ever seeing the leak. Quoting them well means making each estimate easy to match to the right property, easy to approve and easy to pay.

A Different Kind of Customer

Templates, covered in Plumbing Estimate Templates: Quoting the Jobs You Write Every Week in Less Time, are especially useful for property managers, because the same repairs come up across many units. But the bigger difference is in how the customer is organized.

A property manager or landlord is one client with many addresses. In PlumbingBossPro, that is exactly how it is set up: one client, many addresses, each with its own equipment, access notes and history. Tags and custom fields help you keep track of things like which owner each property belongs to or which manager handles it.

Name the Address on Every Estimate

The single most important thing on a property manager's estimate is the address. A manager reading “toilet replacement” with no address has no idea which of their properties it is for. Every estimate should be tied to the specific address, and the line descriptions should name the unit if it is a multi-unit building:

The manager should be able to forward the estimate to the owner without adding a word of explanation.

Explain the Finding, Because They Did Not See It

Property managers approve work they have not seen. A tenant reported a leak, your tech went out, and now the manager is reading a quote. A short note on what the tech found and why the work is needed makes approval much easier: “Tenant reported slow drain. Found partial blockage in kitchen line; cleared. Supply valves under kitchen sink corroded and weeping. Recommend replacing.”

Photos from the job help too. The manager is responsible to an owner, and being able to point to what the tech saw protects them.

Online Approval Fits How Managers Work

Property managers juggle tenants, owners, vendors and paperwork all day. Online approval lets them approve your estimate between other tasks, without calling your office and waiting for a callback. Once approved, the estimate becomes the scheduled job for that address, and dispatch puts it on a van.

Estimate follow-up emails help with the quotes that slip through the cracks. A manager with forty open items is not ignoring you; they just have not gotten to it. A reminder helps. For more, see Online Approval for Plumbing Estimates: Letting Customers Say Yes Without a Phone Call.

Recurring Work Across the Portfolio

Property managers are good candidates for recurring maintenance. Yearly water heater flushes across all their properties, softener service where it applies, backflow tests on the buildings that need them. You can quote the recurring work once, then set each address up with a minimum number of days between visits. Each visit comes due on the Waiting List on its own, shown on the map by address.

That is easier for the manager too. Instead of remembering to schedule maintenance on twenty properties, it just shows up.

One Statement a Month

Many property managers would rather pay one bill than a stack of small invoices. In PlumbingBossPro, a client set to Monthly account billing gets one statement each month covering every address, with each line labeled with the address. The manager can see at a glance what was done where and match it to their own records.

This matters for quoting because it shapes how managers think about approval. If they know the work will show up on a clean monthly statement, labeled by property, approving a repair is a smaller decision.

Tenants, Access and Who to Call

Rental work adds a wrinkle homeowners do not have: the person living there is not the person approving the quote. Access notes on each address help: “Text tenant before arrival,” “Lockbox on the back door,” “Manager must be present for this unit.” The tech sees those notes on the job card. It also helps to agree with each manager on what your tech should do when they find something extra on site: call the manager, note it for a separate estimate, or go ahead under a set amount. Write that agreement down on the client record so every tech follows it.

Keep Each Property's Record Accurate

Over time, each address builds its own record: the water heater's model and install year, where the main shut-off is, the sewer cleanout location, tenant access notes. That record makes every future quote faster and every future visit smoother. When the manager calls about a no-hot-water complaint at a unit, you already know what is installed there.

If you take on a new property manager with many addresses, CSV import can bring their properties in, and the addresses are placed on the map automatically. For how property manager quoting fits into the rest of the platform, see the plumbing estimate software overview.
