Emergency and After-Hours Charges as Plumbing Invoice Line Items

Pipes do not burst on a schedule. Water heaters fail on Christmas Eve. Main lines back up on Saturday night when the house is full of guests. A plumbing company that answers those calls deserves to charge for it, and most customers expect to pay more. The trouble only starts when the extra charge is a surprise.

Same Principle as Callbacks

Callbacks, covered in Callbacks and Warranty Labor on Plumbing Invoices: Writing Your Own Policy, work best when the policy is written down and shown plainly on the invoice. After-hours charges follow the same rule: decide it ahead of time, tell the customer, and show it on its own line.

Decide What Counts as After-Hours

Write down your shop's definitions so everyone bills the same way:

Then decide how each is priced. Some shops use a higher service call. Others add a flat after-hours charge on top of the normal service call. Either works if it is consistent.

Set Them Up in Your Service List

In PlumbingBossPro, invoice lines come from your own service list. Add your after-hours charges there with names a customer understands:

When an after-hours job is created, the office adds the right charge to the job before the tech arrives. The tech completes the work, and the charge is on the invoice without anyone remembering to add it later.

Tell the Customer on the Phone

The customer should hear about the after-hours charge before you roll a van. Whoever answers the emergency line says it plainly:

Offering the choice matters. Some problems can wait if the customer shuts off the water at the main or the fixture. If they decide it cannot wait, they have agreed to the charge. Follow it up with a short text from the office through two-way texting so the agreement is in writing.

Keep It on Its Own Line

The worst way to bill an after-hours charge is to fold it into the labor. A homeowner sees a repair that cost far more than their neighbor's and assumes they were overcharged. The best way is a separate line:

Laid out this way, the customer sees exactly what the weekend cost them, and they can see that the repair itself was priced the same as any other day.

Card on File Makes Late Calls Easier

Late-night calls are where card on file really helps. Nobody wants to discuss payment at midnight in a flooded basement. If the customer has a card on file, the tech taps Complete and the invoice is charged. If they do not, the office can send the invoice and the customer pays online from the customer app the next morning.

For new customers calling in an emergency, many shops ask for a card when the call is booked. That is reasonable and most people expect it.

Review your after-hours charges once a year. If your on-call costs went up, adjust the service list so every new invoice reflects it. Tell your office first, so whoever answers the emergency line quotes the new amount, and update any wording on your website or request form so customers see the same number everywhere.

Emergency Calls on Monthly Accounts

For property managers and restaurants, after-hours charges show on the monthly statement next to the address, labeled like any other line. Talk to those accounts ahead of time about what counts as an emergency and who can approve a night call. A restaurant floor drain backing up during dinner service is an emergency; a slow sink in an empty rental on a Sunday might not be.

Clear after-hours lines help with drain calls in particular, since many emergencies are backups. Billing drain work is covered in Invoicing Drain Cleaning, Main Lines and Hydro-Jetting So the Customer Sees the Difference. For the rest of plumbing billing, see the plumbing invoicing software page.
