Running a Yearly Water Heater Flush Visit From the Plumber App

The yearly water heater flush is the backbone of a lot of plumbing maintenance plans. It is predictable work, it keeps customers coming back every year, and it is the visit where a plumber gets to look at the most failure-prone piece of equipment in the house before it fails. Here is how a flush visit runs from start to finish in the PlumbingBossPro tech app.

The Visit Comes Due on Its Own

Signal trouble below grade, which matters for basement water heaters, is covered in Basements, Crawlspaces and Weak Signal: Using the Plumber App Where Phones Struggle. Before any of that, the visit has to get on the schedule.

In PlumbingBossPro, a yearly flush plan is recurring work set by a minimum number of days between visits, 365 for a yearly flush. When a customer's flush comes due, it lands on the Waiting List, a live map and list of every visit that has come due, with pins colored by status: not due yet, due now, or overdue past a 7-day grace. The office assigns due flushes to the water heater van for the week, auto-routes them from the shop, and they show up on the plumber's phone in order.

Before Walking In

On the job card, the plumber already knows the tank: “Water Heater - Tank (Gas) · Rheem XG50T06 · 50 gal · Natural Gas · installed 2014,” with the serial number below and “Garage · Shut-off is in the meter box at the curb.” Past notes from last year's flush sit alongside: “Heavy sediment. Anode about half gone. Mentioned replacement in a year or two.”

That is everything the plumber needs to plan the visit. A drain hose long enough to reach the driveway from the garage. A replacement anode on the van in case the customer says yes this year. A clear sense of the conversation ahead, because the tank's age is right there on the card.

On Site: Start, Photos, Checklist

The plumber taps Start on arrival and the customer gets the arrived text. A quick before photo of the tank and its connections records the starting point. Then the plumber works through the inspection checklist alongside the flush:

If the plan includes a broader look at the house, the rest of the checklist covers toilets, faucets and supply lines, drains, the disposal, hose bibs, the sump pump and the softener. The checklist items and readings are covered in depth in The Plumbing Inspection Checklist in the Tech App, Item by Item.

Condition and the Honest Conversation

At the end of the checklist, the plumber picks a condition: Good, Needs attention, or Repair recommended. Then the recommendations, written for the homeowner. For a newer tank with light sediment, that might be “Good. No action needed.” For an older tank with heavy sediment and a corroded anode, it is “Needs attention. Water heater is 12 years old. Recommend planning for replacement.”

This is the visit where that conversation happens naturally. The plumber is not pushing a new tank on a stranger. They are telling a customer they see every year what changed since last time, with readings and photos to back it up. A photo of the sediment drained or the anode pulled says more than any sales pitch.

Complete, Invoice and Payment

With the photos taken and the checklist filled in, the plumber taps Complete. The invoice is created from the job's line items, for example a $129 water heater flush, plus any extra work done with the customer's approval. If the customer signed up for the flush plan through your website sign-up form, a card is already on file and can be charged right then.

Back at the office, the job shows complete with the checklist, readings, photos and notes. The office can print the Plumbing Inspection Report for the homeowner, and if the plumber recommended a replacement, build an estimate from the service list and send it for online approval.

Next Year Starts Now

Once the flush is completed, the plan starts counting toward the next visit, and in about a year the customer lands on the Waiting List again. The notes, readings and photos from this visit become the past notes for that one. Year over year, the equipment card, the readings and the history build a clear picture of the tank, and the replacement conversation, when it comes, is backed by years of records.

That is what makes a flush plan worth selling. The plumber app turns each visit into a record that makes the next one better. To see how flush visits fit into the rest of the plumber's day, visit the PlumbingBossPro plumber app page.
